What the Senior Workplace Services Coordinator does

Oversees day to day building operations, working with leadership to assure day to day operations of the workplace function smoothly and efficiently. Manages the coordination, scheduling and completion of short-term and long-term workplace projects and ensures vendor performance.

What you will do

  • Responsible for evaluating the repair and replacement needs of facility equipment and coordinates the work involved, including effective communications with stakeholders.
  • Oversee renovation projects with direction from Regional Workplace Manager & site leadership.
  • Monitor workplace services and ensures they meet performance expectations. Including custodial, grounds-keeping, maintenance, building repairs, gardening, and day-to-day upkeep needs. 
  • Ensure vendors work meets contractual scopes of work and is to standards, establishing and reporting applicable metrics.
  • Maintain vendor relationships and trains vendors on work order and billing procedures – including PO creation.
  • Assign and oversee the performance of day-to-day tasks by team members.
  • Ensure operational space are set up /reset according to local requirements.
  • Ensure minor maintenance tasks completed in a timely manner - change lights, move tables, panels, boxes, etc.
  • Coordinate the receipt and installation of equipment in collaboration with managers or employees as appropriate. 
  • Oversee the scheduling of equipment repairs and calibrations.
  • Creation of process documentation with the Regional Workplace Manager, including business continuity planning.
  • Support local health and safety activities, including coordination of safety drills.
  • Be responsible for storage facilities: off-site and on-site. 

What you will bring to the role

  • Ability to effectively communicate (oral and written) with all employees, contractors, and vendors.
  • Excellent interpersonal skills and experience dealing with a diverse workforce.
  • Knowledgeable and experience in Microsoft Office suite.
  • Effective time management and logical decision-making ability.
  • Ability to work independently without direct supervision.
  • A good understanding of how things work (facility-related).
  • Ability to use miscellaneous office equipment, computers, copiers, etc.
  • Ability to prioritize and manage multi-functional tasks.
  • Ability to be available for on call emergencies.

Your experience

  • High school diploma or GED.

Preferred: Bachelor's degree or certification from an applicable field (e.g. FMP, CFM or equivalent)

  • 8+ years of relevant experience.
  • Valid driver’s license.
  • Experience with purchase orders and vendor contracts
