What the Facilities Coordinator 3

Works with leadership to assure day to day building operations function smoothly and efficiently, manages the coordination, scheduling and completion of long term and short-term facility projects, and ensures that vendor contracts are managed and maintained.

What you will do 

  • Determine office facility needs for repair and replacement in conjunction with leadership.
  • Responsible for evaluating the repair and replacement needs of facility equipment and coordinates the work involved.
  • Work closely with internal vendor contracts team to negotiate contracts and review terms and conditions.
  • Ensure vendors work meets contractual scopes of work and is to standards.
  • Maintain vendor relationships and trains vendors on work order and billing procedures.
  • Coordinate the receipt and installation of equipment in collaboration with managers or lab staff as appropriate.
  • Prepare purchase orders and assign to accounting.
  • Be Responsive to unexpected facility concerns and requests at all hours.
  • Responsible for storage facilities: off-site and on-site
  • Secure contracts and monitors custodial, grounds-keeping, maintenance, building repairs, gardening, and day-to-day upkeep needs.
  • Manage equipment files
  • Minor maintenance on a daily basis - change lights, move tables, panels, boxes, etc. Assist cleanup of kitchen problems and overflows; maintain scheduled checks on break rooms.

What you will bring to the role

  • Ability to effectively communicate (oral and written) with all employees, contractors and vendors.
  • Excellent interpersonal skills and experience dealing with a diverse workforce.
  • Knowledge of Microsoft Office suite.
  • Effective time management and logical decision-making ability.
  • Ability to work independently without direct supervision.
  • Basic understanding of how things work (facility-related).
  • Ability to understand and follow oral and written instructions.
  • Ability to prioritize and manage multi-functional tasks.
  • Ability to work effectively under pressure.
  • Ability to use standard powered and non-powered tools.

Your experience

  • 6+ years of experience required.  Must have experience with purchase orders and vendor contracts.
