Position Title: Facilities Associate

External Description:

SUMMARY: The Facilities Associate is responsible the coordination of escorting outside contractors or vendors for various services. Coordinates and performs tasks associated with preparation of physical move projects. The Facilities Associate anticipates and/or diagnoses problems, suggests and implements solutions. Also, will be responsible for performing routine minor building maintenance and administration tasks for the Worldwide facilities. In addition, this position will cover front desk responsibilities when primary staff is out of the office.

RESPONSIBILITIES:
Tasks may include but are not limited to:

  • Coordinates and assists with site, departmental and employee moves.
  • Coordinates transport of goods or equipment as assigned. This will primarily consist of utilizing service providers for physical transport.
  • Respond to and complete applicable Facilities tickets/requests.
  • Maintain equipment lists, maintenance schedules, and operations checklists/procedures as directed.
  • Covers front desk duties as needed including answering phones, greeting visitors, scheduling conference/audit rooms, ensure entry process compliance and other relevant administrative duties.

OTHER SKILLS AND ABILITIES:

  • Must be able to effectively communicate (oral and written) with all employees, contractors and vendors.
  • Excellent interpersonal skills and experience dealing with a diverse workforce.
  • Knowledgeable in Microsoft Office suite.
  • Effective time management and logical decision-making ability.
  • Must have basic understanding of how things work (facility-related).
  • Use miscellaneous office equipment, computers, copiers, etc.
  • Understand and follow oral and written instructions.
  • Ability to prioritize and manage multi-functional tasks.
  • Ability to work effectively under pressure.
  • Ensures facilities requests are addressed in a timely manner.


REQUIREMENTS:
 

  • 2-4 years office/business experience working in a support role
  • Excellent written and verbal communication skills and strong attention to detail are essential
  • Must have experience with answering phones having a professional and friendly phone demeanor
    • Ability to prioritize and handle multiple projects simultaneously; flexible and able to use sound independent judgement and take initiative to assess information
    • Ability to interact in a diplomatic and professional manner required
    • Ability to anticipate needs and follow through on all assigned tasks a must
  • Other: The Facilities Associate must be able to follow written and verbal communication, is self-motivated and able to work independently with minimal supervision as well as with a team. They must be able to make sound judgments when problem solving. The Facilities Associate has contact with Worldwide employees as well as with external customers and vendors.
  • Possible mental demands include, but are not limited to: reading, math, computer interaction, intense concentration, verbal communication, written communication, vendor contact, attention to detail, multiple tasks, frequent interruptions, fluctuation in work load.
  • Possible physical demands include, but are not limited to: lifting and carrying of objects weighing 5-50 pounds, moving objects with dollies, hearing, seeing, gross and fine motor use of upper extremities, driving, working with tools and power tools, kneeling, walking, standing, and climbing a ladder.
