Position Title: Facilities Coordinator 3

External Description:

Summary:

Works with Early Phase leadership to assure day-to-day building operations function smoothly and efficiently. Will manage the coordination, scheduling, and completion of long-term and short-term facility projects, and ensures that vendor contracts are managed and maintained.

Responsibilities:

Tasks may include but are not limited to:

  • Determines office facility needs for repair and replacement in conjunction with leadership
  • Minor maintenance daily - change lights, move tables, panels, boxes, etc. Assist cleanup of kitchen problems and overflows; maintain scheduled checks on break rooms
  • Proven experience with HVAC, plumbing, refrigeration, and electrical systems
  • Responsible for evaluating the repair and replacement needs of facility equipment and coordinates the work involved
  • Works closely with internal vendor contracts team to negotiate contracts and review terms and conditions; ensure vendor's work meets contractual scopes of work and is to standards, effective management of external vendor relationships
  • Coordinates the receipt and installation of equipment in collaboration with managers or lab staff as appropriate
  • Prepare purchase orders and submit them to accounting for approval
  • Responsible for storage facilities: off-site and on-site

Skills and Abilities:

  • Must be available for on-call emergencies.
  • Must have excellent interpersonal skills and be able to effectively communicate (oral and written) with all employees, contractors, and vendors.
  • Knowledgeable in Microsoft Office suite
  • Effective time management and logical decision-making ability, as well as the ability to prioritize and manage multi-functional tasks effectively under pressure
  • Self-starter; must be able to work independently without direct supervision
  • Must be organized and provide deliverables in support of project plans.
  • Must have a basic understanding of how things work (facility-related) and can ensure facilities requests are addressed promptly
  • Ability to use standard powered and non-powered tools

Requirements:

  • 6+ years of experience required.
  • Must have experience with purchase orders and vendor contracts.
