Position Title: Processing Laboratory Shipping Coordinator I

External Description:

SUMMARY:  A Shipping Coordinator, along with other technicians, performs the bulk of the sample shipping.  He/she performs laboratory and administrative procedures following Worldwide Clinical Trials (WORLDWIDE) procedures and study protocol requirements. The Processing Laboratory Shipping Coordinator works under the direct supervision and guidance of the Laboratory Services Director.   He/she is not responsible for directly supervising other staff.
 
RESPONSIBILITIES:
Tasks may include but are not limited to:

  • Always represents WORLDWIDE in a professional manner (verbal, written and in appearance) when interacts with Sponsors, volunteers, outside vendors and fellow employees.
  • Will be International Air Transport Association (IATA) trained and follow all regulations when shipping samples.
  • Responsible for maintaining a shipping calendar in a common drive for all staff to review.
  • Responsible for ensuring the shipment of samples is performed on the dates as planned with no errors.
  • Responsible for scheduling staff to meet the shipping timelines.
  • Orders supplies to meet the demands of shipping but not overstocking.  Must order dry ice, shipping boxes, baggie, etc. and charge to appropriate studies.
  • Indirectly supervises staff working on shipping during their shift.     
  • Responsible for monitoring work flow and requesting additional help or assistance as needed to prevent any errors.
  • Ensures staff working in shipping is following current procedures and study specific instructions.
  • Performs continual data review of work performed during their shift to ensure accuracy
  • Responsible for creating, acquiring a QC review and prepping all logs used in the shipping area prior to study start
  • Completes any shipping related or audit queries as assigned.
  • Ensures shipping area is continually restocked with supplies.
  • Assists Supervisor and Assistant Supervisor in training PRN staff.
  • Checks that Freezers and refrigerators are calibrated and properly maintained(holding temperature correctly, defrosted periodically)
  • Maintains and ensures safety equipment is available and performing (eyewash, PPE, etc.).
  • Ensures the shipping area is properly cleaned and disinfected as required by WORLDWIDE procedures.
  • Works closely and supports any special projects such as electronic data capture (EDC) programs, outside clinical laboratory, etc.
  • Cross trained and serves as a back-up for inventory, packaging and shipping of laboratory samples per sponsor requests and protocol requirements.
  • Collects and processes lab samples (blood, urine, and other body fluids) following WORLDWIDE procedures and protocol requirements as needed.
  • Assigned to perform some of the more complicated procedures that require special training or experience, such as processing urine collected.
  • Covers study procedures or shifts as needed.
  • Cross trains in other areas such as technical procedures, covering the front desk, etc.
  • Performs administrative work as needed (copying, filing, etc.).
  • Responsible for requesting, scheduling and attending any training required for this position.
  • Completes all necessary training for their position, including SOPs, DOPs, and skill verification. 

RESPONSIBILITIES (Cont.):

  • Performs other procedures/duties as required by specific study protocols and/or their supervisor.
  • Other:   The Processing Laboratory Shipping Coordinator will have work assigned to him/her each shift, and he/she will be responsible for performing these tasks and procedures accurately and on time.  It will be the Processing Laboratory Shipping Coordinator’s responsibility to notify his/her Supervisor if he/she is not able or is not trained to perform any assigned tasks, or of any other problems while on shift. Must be able to follow written and verbal communication.  Must be punctual.  Must have flexible hours.

 

  • Possible mental demands include, but are not limited to: reading, math, writing, intense concentration, verbal communication, participant contact, attention to detail, frequent interruptions, fluctuations in workload, high volume of workload and managing or performing very strict time-dependent procedures.

 

  • Possible physical demands include, but are not limited to:  lifting and carrying of objects weighing 5-50 lbs., hearing, seeing, gross and fine motor use of upper extremities, kneeling, walking, standing, leaning over for extended periods of time, squatting, eye strain/fatigue, climbing, pushing, pulling, reaching, and exposure risk to potentially infectious blood and/or body fluids, and/or hazardous fumes or chemicals.

  • Possible equipment includes, but is not limited to:  Microscope, computers, rolling carts, fax machine, photocopier, automatic Pipette, telephone, lab apparatus, mop/broom, needles, spirometry equipment, centrifuges, freezers, scales, calculators, vital signs equipment, ECG machines, dishwasher, microwave, etc.

 
REQUIREMENTS:

  • High School diploma or equivalent, Bachelor degree is preferred
  • At least 1 year of experience in a laboratory setting with some shipping experience; IATA trained
