Position Title: Logistics Coordinator II

External Description:

The Logistics Coordinator is responsible for the coordination of customs clearance and transportation.
Tasks may include but are not limited to:

  • Preparation of the documents for obtaining import/export authorizations
  • Arranging reviewing and approving of documents for anticipated import shipments with the shipper
  • Approval of anticipated export shipments with the consignee
  • Preparation of documents package for customs clearance of import shipment
  • Preparation of documents package for transportation and customs clearance of export shipment
  • Arranging notifications about status of ongoing shipments to project teams and depot, when required
  • Communication of information required for planning of shipments to project teams and the Sponsor
  • Communicating with customs brokers and transport companies regarding shipment details and conditions
  • Providing the project team with necessary instructions and information (e.g. applicable requirements, recommendations for selecting transportation conditions and carriers, estimating shipping and customs clearance timelines/costs, possible risks/extra expenses)
  • Tracking obtained import/export authorizations, their location, valid period, and remaining quotas if applicable
  • Notification of project teams about upcoming expiration of the import/export authorizations
  • Arranging of outgoing courier dispatches, excluding those of depot
  • Arranging of incoming courier shipments, excluding those of depot
  • Communicating with WCT employees: processing of relevant inquiries, tracking of shipments upon request, consulting on courier service issues
  • Communicating with courier companies: ordering couriers and shipping materials, resolving relevant issues
  • Monitoring of quality of courier services, including those of depot
  • Arranging requests to courier companies regarding shipment conditions, costs and timelines when necessary
  • Preparing data for claiming for courier companies services
  • Maintaining of data base and archive
  • Processing of bills for delivery and custom clearance
  • Backing up Logistics Assistant or Logistics Coordinator
